CanCOVID is committed to protecting and respecting the privacy of visitors to our website, members on our community Slack channel, subscribers to our newsletter, and applicants of CanCOVID membership. This Privacy Policy explains how we collect, use, store, and secure your personal information across our organization’s various platforms.

Participation in CanCOVID is completely voluntary. By deciding to participate, you are agreeing to the collection of your information as described in this policy. We may make changes to this Privacy Policy at the sole and absolute discretion of CanCOVID. We will notify you of changes by updating the “Last Updated” date of this page and changes will be effective immediately upon posting of the updated Privacy Policy. We encourage you to periodically review this Privacy Policy to stay informed of updates.

COLLECTION AND USE AND STORAGE OF YOUR INFORMATION BY CANCOVID

Personal information is information that identifies you as an individual or that can be linked or connected to you specifically. Personal information does not include information about you in your professional capacity.

Information collected by CanCOVID will be protected consistent with the requirements of FIPPA, and only collected, used, or disclosed in accordance with this Privacy Policy. Information you provide through third-party platforms will also be subject to the privacy policy of each platform, respectively; please see below for further detail about third parties.

PERSONAL INFORMATION COLLECTED BY THIRD PARTY WEBSITES

Across our CanCOVID platforms we include links to third-party websites which are not controlled or maintained by us. We are not responsible for personal information you provide to third-party websites, or the personal information collected by third-party websites. Please review the privacy policies of third-party websites or contact the third-party website’s operator if you have any questions or concerns.

Member Registration Form

Our membership registration form collects contact information including your name and email address. We also collect information regarding your professional involvement and expertise. This information is used to verify your appropriateness for membership and fulfills the CanCOVID commitment of having an identifiable membership base. This information is not disclosed in identifiable form with anyone outside of CanCOVID. We use Airtable to collect and store your information. Member registration data is also subject to Airtable’s Privacy Policy of Content.

CanCOVID Email Subscription

By subscribing to receive email updates you will be asked to provide contact and professional information, including your name, email address, and organization. This information is used to provide you with CanCOVID emails, which you may unsubscribe from at any time. Professional information is strictly used in aggregate form to enable our analysis of our audience. We use Mailchimp to facilitate our email communications. By subscribing to our email updates, you are agreeing to Mailchimp’s Privacy Policy.

Slack Platform

We use Slack as a third-party host for community discourse. By registering to use the CanCOVID Slack channel you are agreeing to Slack’s Privacy Policy. Any information that you post to our Slack platform will remain viewable on Slack indefinitely. If our team determines that a comment/post to be inappropriate, we reserve the right to remove it.

Website

The information our servers automatically collect when you access the site include your browser type, operating system, access times, geographic location, language used for the site, and the pages you have viewed on our site. We do not log your Internet Protocol (“IP”) address on our servers. IP addresses may be stored by our security provider for the purposes of security protection. This information may also include your device type, your device system language, city, country, operating system, and other interactions with the site.

Cookies: Additionally, when you visit our site, we collect certain information about your activity on our site, as further described below. CanCOVID is located within Canada, and therefore will transfer, process, and store any information in Canada whenever possible. SECURITY OF YOUR INFORMATION

We use appropriate administrative, technical, and physical security measures designed to help protect your information. While we use strong security measures and have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse. Any information disclosed online is vulnerable to interception and misuse by unauthorized parties. Therefore, it is not possible to guarantee complete security.

COOKIES AND WEB ANALYTICS

We use Google Analytics and it drops a cookie to help us track basic site functionality and anonymized usage analytics. A “cookie” is a tiny element of data that our site can send to your browser, which may then be stored on your device. If you are concerned about your privacy and the use of cookie technology, you can set your web browser to notify you when you receive a cookie. You can also set your browser to refuse the cookies our site attempts to send you. CanCOVID uses IP address anonymization and Google Analytics anonymization to avoid storing information that could identify you. We record only non-identifying data about your use of this site to analyze and track our website traffic, determine the popularity of certain content, and better understand online activity.

AGE RESTRICTION

The CanCOVID platforms are not intended for or designed to attract individuals under the age of 13. We do not knowingly collect personal information from users under 13. Anyone under the age of 13 should not use any of CanCOVID’s platforms.
